Releasing a DVD product involves many processes as shown in the following diagram. As you can see, there are 10 processes at the outline level. Each process can be broken down into further detailed work items, and this involves a tremendous amount of work.

Acquisition of Rights In order to place DVD products in the market, you must first secure the rights for DVD distribution.

Contract Handling Once the basic terms have been agreed upon, the next step is to bind a contract with the rights owner. However, licensing contracts usually run to dozens of pages in English, and a considerable amount of experience and workload is required to go through and understand these contracts. Legal and technical terms are used heavily in these contracts and much caution is needed in order to avoid a contract with disadvantageous terms. It is also necessary to remit royalties such as minimum guarantee and overage to the rights owner, and in cases where the rights owner is an overseas company, withholding taxes must be calculated and applied for to taxation authorities.

For critical issues, we will consult lawyers who specialize in copyrights. Contracts will be translated into Japanese upon request. Product specification and Marketing Plans Once the contract is signed, the next step is usually to draw up a marketing plan as to what kind of merchandise you will produce, how you will promote it and when it will be released. This plan is also necessary in order to release the product according to the initial schedule.

Specifications of the product, pricing, release date and promotion schedule will also be developed in line with the strategy. Fieldworks will also handle Japanese-English translation of the marketing plan for presentation to licensor.

Acquisition of necessary material The following items need to be acquired from licensor in order to produce a DVD:
  • HD master(Master tape including footage and additional contents)
  • Script(Script with dialogues within the movie)
  • Spotting List(List of entrance timing for dialogues)
  • Advertising material(key art, positive prints, press kits and other material needed for promotion purposes and DVD jackets)

Additional material such as DA88 tapes for 5.1ch sound systems etc. can also be acquired according to what kind of specification will meet with market favor. These items need to clear customs when importing from overseas.

Authoring Authoring is the design and assembly work of the DVD master and is usually consigned to companies that specialize in this field. However the following items need to be cleared by the licensee.
  • Creation and proofreading of Japanese subtitles(also subtitles for additional contents as necessary)
  • Creation of menu and chapter screen image(consignment to authoring companies possible in some cases)
  • Chapter setup(extracting the title of chapters, specification of timing, field specification for buttons)
  • Japanese Dubbed Track(for cases where a new Japanese dub is necessary or when a previously dubbed television track is used)

In addition to the above, company logo data will also be necessary in some cases, and sound material will be required for BGM for the menu screen or for sound effects when choosing chapters in the menu.

Fieldworks will take care of the above work items on your behalf. Customers need only check the completed version. When you require the televised dubbed track, we will investigate the company that produced the dub, negotiate terms and calculate fees for secondary usage fees.

Printing The next step is the design and consignment of printing promotion fliers and posters, DVD jackets and labels, boxes using the promotion material acquired from the licensor. Copyright notice must usually be shown with the copyright symbol c. In cases where usage terms of the promotion material (such as prohibition of collage usage, title logo font specification) are set down, the DVD promotion material must be effective within the restrictions of these terms.

Fieldworks will make necessary arrangements for designers and will undertake and coordinate all interactions with the designer company, printing company and advertising agency. We will also be in charge of searching for additional material when material from the original source is lacking or inadequate and will negotiate approval of such usage with the licensor.

Publishing Once authoring is completed and the DVD master is completed, the product will be published. The master must be delivered to a stamping company, and a "stamper" that will press DVDs will be manufactured. Once the press is completed, the DVD will be delivered with the printed deliverables to a packaging company and will be assembled to take the form of the final product. If too many DVDs are pressed, this becomes excess inventory and will impact your inventory level. Excess stock is recognized as an unperforming asset and will affect balance sheets, so volume estimation for publication must be done very cautiously. Quality assurance is also a very important process as there are cases when the DVD easily comes out of its case pocket.

Shipment Finally the product is shipped to retail stores. Direct sales activity and sales channels is necessary when handling the sales process within your company, and in cases where you consign sales to a sales agent, commission fees and minimum sales guarantee must be agreed upon and a sales contract must be negotiated.

Fieldworks promotes usage of an Internet Sales site as a medium for sales. This method usually allows for a high margin profit. We provide advertisement and sales promotion services based upon our successful experience using this Internet sell-through system, and will also design and build a promotion website.

For customers who wish to sell their product in actual retail stores, we provide sales support and undertake negotiations with sales agencies on your behalf.

Reporting In most cases, DVD rights licensees need to submit a royalty report to the licensor on a quarterly basis after the DVD product is released.

Fieldworks will create formats for this report and will calculate royalty fees on your behalf. In cases where sales is a joint project with other investors, we will create a balance sheet for the review of other investors.

Approval of licensor One of the most time consuming processes of the entire DVD production process is obtaining approval of the rights owner. This process differs from case to case, but as a general rule, approval must be obtained at each of the following stages in order to move to the next step.
  • Product specification and promotion plan
  • Additional material from additional sources
  • DVD menu screen(main/chapter/additional screen etc)
  • Chapter field position(time code)
  • All printed material(advertisements, fliers, jackets, labels, boxed etc.)
  • Product sample(Product can not be released until sample is approved)

In most cases, all approval is conducted in English.
